Paper and hybrid counts
Count on paper when you have to — with the same controls
Some storerooms still count on paper: no signal in the cold room, an auditor who wants wet signatures, or a stocktake team without phones. MedStock Inventory prints proper count sheets, then brings the figures back in under the same audit trail as a scanned count. Run a whole count on paper, or split it group by group in a hybrid session.
- Landscape A4 sheets per counter, numbered line by line, with a QR code that opens the right sheet for capture.
- Expected quantities are hidden by default; printing them needs a written reason, recorded against a named user.
- Expected figures are frozen the moment sheets are issued — variance is never measured against stock that has moved since.
- Fast keyboard capture: type, Enter, next line. Zero counted and never counted stay two different things.
- Optional double entry, so two passes must agree before a sheet is accepted.
- Reprints void the original sheet, and a voided sheet can never be captured.
- Upload a photo of the signed sheet as evidence, and issue blind recount rounds for the lines that disagree.

Batch and expiry
Know what expires next, before it does
Turn batch tracking on for the items that need it and leave everything else alone. Tracked items ask for a batch at the point of counting, sorted nearest expiry first, and an expired batch cannot be counted by accident.
- Per-item toggle — untracked lines count exactly as they always did.
- First-expiry-first-out prompts, with new batches created inline mid-count.
- Expired batches flagged and confirmed explicitly, never silently.
- A storeroom-wide expiry dashboard with 30 and 90 day windows and CSV export.
- Variance reports broken down batch by batch under each item.
